AHLA Events Terms & Conditions

Please read these terms and conditions carefully as they contain important information about your Event registration. 

These terms and conditions apply between the person, firm, company or other entity specified on your booking form (“you,” “your” or “Attendee”) and American Hotel & Lodging Association and/or AHLA Foundation, Inc. (hereinafter “AHLA”), which is the owner, organizer, and/or operator of the event/conference specified on your booking form (“Event”), for attendee / delegate registrations for the Event. By submitting your registration to attend the Event, you agree to be bound by these terms to the exclusion of all other terms. If you do not agree to be bound by these terms, then AHLA will be unable to accept your registration and you will not be permitted to attend the Event. 

Rules and Regulations 
Attendee agrees to comply with all rules, regulations, and policies of the venue/facility where the Event is scheduled to be held, and of AHLA, all as may be adopted from time to time and may be changed without notice. 

Substitution and Cancellation Policy 
Change or Postponement of the Event: AHLA reserves the right to cancel, rename or relocate the Event or change the dates on which it is held. If AHLA changes the name of the Event, relocates the Event to another event facility and/or city, or changes the dates for the Show to dates that are not more than 90 days prior or 180 days later than the dates on which the Event originally was scheduled to be held, AHLA shall assign to Attendee, in lieu of the original registration, such other registration as AHLA deems appropriate and Attendee agrees to accept such registration under the terms of this registration. 

Force Majeure: If AHLA cancels the Event due to a Force Majeure Event (as defined below) then Attendee shall receive a credit towards the same or similar event equal to the amount paid. For the purpose of this policy, “Force Majeure Event” means any event or circumstance arising that is beyond the reasonable control of AHLA (including but not limited to governmental laws, ordinances, regulations, requisitions, restrictions, guidelines, recommendations or action, imposition of sanctions, embargo, military action, acts or threats of terrorism or war, mob, civil commotion or riot, health scares (including without limitation, epidemic and pandemic (e.g., COVID-19), whether or not new, ongoing or recurring), fire, acts of God, flood, drought, earthquake, severe weather, disaster, disruption to transportation, third party contractor/supplier failure, venue damage or cancellation, industrial dispute, strikes, labor disputes, interruption/failure of utility service, lack of commodities or supplies, accidents, nuclear, chemical or biological contamination, speaker or participant cancellation or withdrawal, or any other comparable calamity or casualty). 

Cancellation of Event: If AHLA elects to cancel the Event other than due to a Force Majeure Event, then AHLA shall refund to Attendee its entire fee previously paid, in full satisfaction of all liabilities of AHLA to Attendee. Attendee agrees that, except as expressly provided in this paragraph, it shall and hereby does waive any and all claims for damages or compensation resulting from or relating to the cancellation, postponement, renaming, relocation or rescheduling of the Event. Without limiting the generality of the foregoing, AHLA may (at its sole discretion) change the format (including, without limitation, from a physical in-person Event to a virtual Event and vice versa), speakers, participants, content, venue location and program or any other aspect of the Event at any time and for any reason, whether or not due to a Force Majeure Event, in each case without liability. 

Cancellation by Attendee: Except as may be otherwise expressly advised as part of the particular Event’s registration process, you may cancel your registration at any time. If your cancellation occurs at least 30 days prior to the original Event start date, then you will be entitled to receive a refund of your registration fees less a processing fee of $_____ or the value of your registration, whichever is lower. Unfortunately, AHLA cannot refund any fees for cancellations that occur less than 30 days prior to the original Event start date, or for failure to attend an Event. [INSERT INSTRUCTIONS ON HOW TO CANCEL] You acknowledge that the refund of your fees or portion thereof in accordance with this policy is your sole remedy in respect of any cancellation of your registration by you and all other liability is expressly excluded. Registrations made pursuant to a corporate sponsorship agreement are specifically excluded and subject to the terms and conditions of such agreement. 

Substitute Registrations: Substitutions with employees from your organization are welcome at any time but in all other respects delegate / attendee registrations are issued for your personal use only and cannot be shared with any other person during the Event. You may not purchase registrations as agent for any third party, sell or otherwise transfer your registration to others, or exploit the registration commercially or non-commercially in any way. All substitutions must be submitted in writing and approved by AHLA. 

COVID-19 Warning 
An inherent risk of exposure to COVID-19 exists in any place where people gather. COVID-19 is an extremely contagious disease that can lead to severe illness and death. You assume all risks, hazards, and dangers arising from or relating in any way to the risk of contracting a communicable disease or illness—including, without limitation, exposure to COVID-19 or any other bacteria, virus, or other pathogen capable of causing a communicable disease or illness, whether that exposure occurs before, during, or after the event, and regardless of how caused or contracted—and you hereby waive any and all claims and potential claims against AHLA and any companies affiliated with AHLA relating to such risks, hazards, and dangers. 

Photography and Recording at Events 
All unauthorized photography and/or the recording or transmitting of audio or visual material, data or information is expressly prohibited. You consent to AHLA undertaking multimedia recording of the Event which may include your participation in the Event as a delegate or attendee (the “Content”) and you consent to the use by AHLA of any such recording anywhere in the world for promotional, marketing and other purposes. You acknowledge and agree that AHLA is the exclusive owner of all rights in the Content and hereby waive any and all: (a) rights in and to such Content, and (b) claims that you may have relating to or arising from the Content or its use. Without limiting the foregoing, you acknowledge and agree to the use of your contact information to receive messages about offerings by AHLA , its brands, affiliates and/or third-party partners, consistent with AHLA’s privacy policy in effect at the time of this registration and which can be accessed by the following link: https://www.ahla.com/ahlacom-privacy-policy

Minimum Age Requirement 
All attendees must be at least 18 years of age to register and attend the Event. Registration of children/minors under the age of 18 for show badges is against Event policy. Under no circumstances will anyone under the age of 18 be admitted to the Event, even if accompanied by a parent. Valid identification is required at all times, will be checked and must match name on badge for admittance to all show and sponsored events. 

Communications & Responsible Beverage Policy 
Registration confirms a business relationship and authorizes AHLA and its affiliates to contact all parties registering with this form via mail, phone, fax or e-mail. Registering for the Event constitutes consent to use your image in future promotional materials and media coverage. Event organizers reserve the right to change or cancel any portion of the Event without prior notice. The registrant agrees that all parties receiving a badge from this form will practice responsible consumption of alcohol. Anyone who over-consumes or appears to over-consume alcohol will be ejected from all Event activities without refund. 

Other Policies 

  • Lost badges will be replaced onsite at a fee. 
  • All seminars and Event activities are available on a first-come, first-served basis. 
  • Any workshops, tours, seminars, conference sessions or activities associated with the official event are subject to change and may require minimum registrations to operate. Should an activity be cancelled due to lack of minimum registration requirements, appropriate refunds will be made. 
  • You are required to present appropriate required credentials, which may include but is not limited to a show badge for admittance to the Event. 
  • These terms and conditions shall be governed by the laws of the State of Delaware, without regard to conflict of laws principles. 
  • AHLA may (at its sole discretion) refuse access to, or eject / block from the Event, any person in its absolute discretion, including (without limitation) any person who fails to comply with these terms and conditions or who in the opinion of AHLA represents a security risk, nuisance or annoyance to the running of the Event. You agree to comply with all reasonable instructions issued by AHLA or the venue owners or operators at the Event.
